This Privacy Policy explains how Paidpeper collects, uses, stores and protects personal data when you access the Paidpeper website, create or use an account, purchase Credits, convert files, contact us or otherwise use our services.

If you do not agree with this Privacy Policy, you should not use the Service.

1. Scope of This Privacy Policy

This Privacy Policy applies to:

the Paidpeper website;
the Paidpeper account dashboard;
file conversion functionality;
purchases of Credits;
communications with Paidpeper;
support and contact requests; and
other interactions with the Paidpeper Service.

This Policy describes how we handle personal data relating to users of the Service.

It does not govern how independent third parties process personal data for their own purposes when you interact directly with their websites or services.

2. Our Approach to Your Files

Privacy of the files you convert is a fundamental part of the Paidpeper Service.

Paidpeper is designed so that the contents of User Files and Converted Files are processed only for the purpose of carrying out the Conversion requested by you.

2.1 No persistent storage of files

Paidpeper does not maintain a permanent or persistent copy of User Files or Converted Files.

A User File is made available to the conversion process only for the time technically necessary to perform the requested Conversion and return the result.

Transient processing buffers or temporary technical data required solely to complete the active Conversion are discarded when the processing operation ends.

Paidpeper does not maintain:

permanent archives of User Files;
permanent archives of Converted Files;
backup copies of User Files or Converted Files;
file contents in account history;
file contents in application databases; or
file contents in ordinary operational logs.

Once processing has ended, Paidpeper cannot restore or retrieve the file for you.

Paidpeper is not a file storage, backup or archival service.

2.2 No use of file contents for other purposes

Paidpeper does not use the contents of User Files or Converted Files for:

advertising;
profiling;
marketing;
data mining;
artificial intelligence or machine-learning model training;
resale; or
any purpose unrelated to performing the Conversion requested by you.

We do not sell, rent or license the contents of your files.

2.3 Automated processing

File conversions are automated.

Paidpeper does not manually inspect the contents of User Files as part of providing the Service.

This does not prevent us from processing technical or security information that does not require retaining file contents, or from complying with a legal obligation where applicable.

2.4 No external file conversion services

Paidpeper does not send User Files to third-party file conversion services.

Conversions are performed within the technical environment used to operate the Paidpeper Service.

We do not disclose the contents of User Files or Converted Files to third parties for their own advertising, analytics, profiling, training, resale or other independent purposes.

Where infrastructure providers are used to operate the technical environment, they act only as service providers processing data on our behalf and under appropriate contractual and security obligations. This does not give them the right to use your file contents for their own purposes.

3. Personal Data We Collect

Although Paidpeper does not retain the contents of User Files or Converted Files after processing ends, we need to process certain other information to operate the Service.

3.1 Account information

If you create an Account, we may process information such as:

your name;
email address;
Account identifier;
authentication information;
Account status;
security and login information; and
preferences associated with your Account.

We use this information to create and manage your Account, authenticate you and provide the Service.

3.2 Conversion metadata

When you perform a Conversion, we may process and retain technical metadata such as:

source format;
target format;
file type;
file size;
Conversion status;
date and time of the Conversion;
Credits charged or returned; and
technical identifiers required to operate the job.

The metadata retained by Paidpeper does not include the contents of User Files or Converted Files.

We use conversion metadata to operate the Service, calculate Credits, maintain job and Account records, troubleshoot technical issues, measure aggregate service performance and detect abuse.

3.3 Payment and billing information

When you purchase Credits, we may process information such as:

amount purchased;
number of Credits purchased;
transaction date;
transaction or payment reference;
currency;
billing information where required;
tax-related information where required; and
payment status, including refunds or chargebacks.

Payments are processed by third-party payment providers.

Where payment is handled by a third-party payment provider, Paidpeper does not receive or store your full payment-card number or card security code.

Payment providers process payment information in accordance with their own legal and privacy obligations.

A payment provider does not receive access to the contents of User Files merely because it processes your payment.

3.4 Website and technical information

When you access the website or dashboard, we may automatically process technical information such as:

IP address;
browser type and version;
device and operating-system information;
language settings;
referring page or website;
date and time of access;
pages or Service functions requested;
session and authentication information; and
security, error and server-log information.

We use this information to deliver the Service, maintain security, prevent fraud and abuse, troubleshoot problems and maintain the reliability of our systems.

3.5 Communications and support information

If you contact Paidpeper through a contact form, support channel or email, we may process the information you provide, including:

first and last name;
email address;
telephone number, if provided;
request category;
message contents;
support reference number; and
information necessary to respond to your request.

We use this information only as reasonably necessary to communicate with you, resolve your request and maintain appropriate records of the interaction.

You should not send file contents or other unnecessary sensitive information through a support message unless specifically requested through an appropriate secure process.

4. Information We Do Not Intentionally Collect from Your Files

Paidpeper does not inspect User Files for the purpose of building a profile about you.

We do not intentionally extract and retain personal information, document contents, photographs, audio, video, text, metadata embedded inside files or other content from User Files for independent use.

A file may itself contain personal data, confidential information or special categories of personal data. Such content may necessarily be processed transiently by the conversion engine in order to perform the Conversion requested by you, but it is not retained as file content by Paidpeper after the processing operation ends.

You are responsible for ensuring that you have a lawful basis and any required permissions to submit personal data contained in a User File.

5. Why We Process Personal Data

Depending on the circumstances and the law that applies, Paidpeper may process personal data for the following purposes and legal bases.

5.1 Providing the Service

We transiently process the contents of User Files solely to perform the Conversion requested by you. We also process Account information, conversion metadata and related technical information to provide and administer the Service:

create and maintain your Account;
authenticate you;
process Conversions;
manage your Credit balance;
provide free or promotional Conversions;
return Credits for failed Conversions;
provide account and transaction history; and
otherwise perform the Service you requested.

Where you use the Service in your own capacity, the legal basis for this processing is the performance of our contract with you or taking steps at your request before entering into a contract.

5.2 Payments, billing and accounting

We process transaction and billing information to:

process purchases;
confirm transactions;
manage refunds and chargebacks;
prevent payment fraud;
maintain accounting records; and
comply with tax, accounting and other legal obligations.

The legal basis may be performance of our contract with you, compliance with a legal obligation, or our legitimate interest in preventing fraud and protecting the Service.

5.3 Security and abuse prevention

We process technical, Account and security information to:

protect Accounts;
enforce technical limits;
detect suspicious activity;
prevent fraud;
investigate misuse;
enforce our Terms and Acceptable Use Policy; and
maintain the security and availability of the Service.

Where applicable, this processing is based on our legitimate interest in protecting Paidpeper, our users and our infrastructure.

5.4 Customer support

We process information you provide when contacting us in order to respond to your enquiry and resolve problems.

Depending on the nature of your request, the legal basis may be performance of a contract or our legitimate interest in responding to users and operating customer support.

5.5 Service improvement

We may use aggregated or non-content operational information, such as Conversion success rates, format usage and error statistics, to understand how the Service performs and where it needs improvement.

We do not use the contents of User Files for this purpose.

Where applicable, this processing is based on our legitimate interest in maintaining and improving the Service.

5.6 Legal compliance

We may process information where necessary to:

comply with law;
respond to valid legal requests;
establish, exercise or defend legal claims;
meet tax or accounting requirements; or
protect the rights and safety of Paidpeper, our users or others.

6. No Sale of Personal Data and No Advertising Use of File Contents

Paidpeper does not sell or rent personal data.

Paidpeper does not sell, rent or monetise the contents of User Files or Converted Files.

We do not use file contents to create advertising profiles.

We do not use file contents to train artificial intelligence or machine-learning models.

We do not make decisions producing legal or similarly significant effects about you solely through automated processing of your file contents.

7. Cookies and Similar Technologies

Paidpeper uses cookies and equivalent browser storage that are necessary to operate the Service, including authentication, secure sessions, account functionality, security and user preferences. We do not use advertising cookies.

Where Paidpeper uses non-essential cookies or similar technologies, they are activated only after any consent required by applicable law has been obtained. Where available, you may withdraw or change that consent using the cookie controls provided on the website.

Paidpeper limits disclosure of personal data to what is reasonably necessary to operate the Service or comply with law.

We may use service providers in categories such as:

payment processing;
hosting and technical infrastructure;
transactional email delivery;
authentication and security;
customer support; and
professional advisers where necessary.

Service providers acting on our behalf are permitted to process personal data only for the services they provide to Paidpeper and subject to appropriate contractual, confidentiality and security obligations.

Payment providers may process the payment information required to complete a transaction.

Infrastructure providers may technically host or transmit data required to operate Paidpeper. They are not permitted to use the contents of User Files for their own advertising, analytics, profiling, training or resale purposes.

We may also disclose personal data where required by applicable law, a binding court order or another valid legal process.

If Paidpeper or the business operating it is reorganised, acquired, merged or transferred, relevant personal data may be transferred as part of that transaction subject to applicable data-protection requirements.

9. International Data Transfers

Some service providers may process personal data in a country different from the country in which you live.

Where applicable data-protection law restricts international transfers, Paidpeper will use an appropriate legal mechanism for the transfer.

Depending on the circumstances, this may include:

an adequacy decision;
approved standard contractual clauses;

We will require service providers receiving personal data to protect that information appropriately.

10. Data Retention and Deletion

We do not retain personal data longer than reasonably necessary for the purpose for which it was collected, unless a longer period is required or permitted by law.

Different categories of information have different retention needs.

10.1 User Files and Converted Files

User Files and Converted Files are not retained as permanent or persistent files.

They are processed only for the active Conversion and are discarded when the processing operation ends.

Paidpeper does not maintain backups or archives of User Files or Converted Files.

10.2 Account information

Account information may be retained while your Account remains active.

Following Account closure, relevant Account information will be deleted or anonymised when it is no longer reasonably required, subject to legal, fraud-prevention, dispute-resolution, accounting or other legitimate retention requirements.

10.3 Conversion metadata

Conversion metadata may be retained for as long as reasonably necessary to maintain Account and Credit records, provide support, investigate errors, prevent abuse and resolve disputes.

Conversion metadata does not contain the contents of User Files or Converted Files.

10.4 Payment and accounting records

Payment, transaction, invoice, refund and accounting records may be retained for the period required by applicable tax, accounting, anti-fraud and other legal obligations.

10.5 Technical and security logs

Technical and security logs are retained only for as long as reasonably necessary to maintain security, investigate incidents, troubleshoot problems and prevent abuse.

Where information is no longer required in identifiable form, it may be deleted or anonymised.

10.6 Support communications

Support and contact information may be retained for as long as reasonably necessary to resolve the enquiry, maintain an appropriate support history and deal with related disputes or legal obligations.

11. Security

Paidpeper uses reasonable technical and organisational safeguards designed to protect personal data against unauthorised access, loss, alteration, disclosure or destruction.

Measures may include, where appropriate:

access controls;
authentication controls;
encryption in transit;
system and infrastructure monitoring;
software and security updates;
restricted administrative access;
logging and incident investigation; and
contractual security requirements for service providers.

No internet-based service can guarantee absolute security.

You are responsible for protecting your Account credentials and should notify Paidpeper promptly if you believe your Account has been compromised.

12. Your Data Protection Rights

Depending on where you live and which data-protection law applies, you may have rights relating to your personal data.

These may include the right to:

request access to personal data we hold about you;
request correction of inaccurate personal data;
request deletion of personal data;
request restriction of processing;
object to certain processing based on legitimate interests;
receive certain personal data in a structured, commonly used and machine-readable format;
withdraw consent where processing is based on consent; and
complain to the competent data-protection supervisory authority.

These rights are subject to the conditions and exceptions provided by applicable law.

Withdrawing consent does not affect processing that was lawful before the withdrawal.

We may need to verify your identity before completing a request.

Where required by applicable law, we will respond within the applicable statutory period.

13. Business Users and Personal Data in Files

If you use Paidpeper in the course of a business and submit User Files containing personal data relating to other individuals, you are responsible for determining whether you have the legal authority to process that information.

Where applicable data-protection law treats you as the controller of personal data contained in a User File and Paidpeper as a processor acting on your instructions, additional data-processing terms may be required.

For information about any applicable Data Processing Agreement, contact Paidpeper using the details in Section 17.

Regardless of that role, Paidpeper's technical approach remains the same: file contents are processed for the requested Conversion and are not retained as permanent User Files or Converted Files after processing ends.

14. Children

The Service is intended for users who are at least 18 years old or otherwise legally capable of entering into the agreement required by our Terms and Conditions.

Paidpeper does not knowingly offer the Service to children in circumstances where doing so would violate applicable law.

If you believe that a child has provided personal data to Paidpeper contrary to this Policy, contact us so that we can review the matter and take appropriate action.

15. Third-Party Websites and Services

The Paidpeper website may contain links to third-party websites or services.

Where you leave Paidpeper and interact directly with another organisation, that organisation may process your personal data under its own privacy policy.

Paidpeper is not responsible for the independent privacy practices of third-party websites or services.

This does not affect the obligations of service providers that process personal data on Paidpeper's behalf.

16. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in:

the Service;
our technical infrastructure;
applicable law;
service providers; or
the way we process personal data.

The current version will be published on the Paidpeper website and will show the date on which it was last updated.

Where a change materially affects how personal data is processed, we may provide additional notice where reasonably appropriate or where required by law.

Changes apply from the date stated in the updated Privacy Policy.
